A hotel room filled with flowers is one of the most memorable surprises you can plan, whether for an anniversary, a proposal, a honeymoon or a birthday trip. But hotels have security rules, check-in timings and staff routines that can make a surprise tricky. The key to getting it right is the hotel concierge.

Here is how to plan a hotel room flower surprise in Delhi, step by step.

Why the concierge matters

The concierge team handles guest requests, deliveries and special arrangements. They know hotel policies, can hold flowers safely until the room is ready and can often let a florist in to set up before the guest arrives. Without their help, a surprise can end up stuck at the front desk.

Step 1: Contact the hotel early

Call or email the hotel at least two or three days before arrival. Ask for the concierge or guest relations team and explain what you have in mind. Share:

  • The guest's name as booked
  • Booking or confirmation number
  • Check-in date and expected arrival time
  • The occasion
  • What you plan to send or set up

Ask about their rules on outside flowers, petals, candles and decor.

Step 2: Understand hotel rules

Luxury hotels in Delhi usually welcome flowers but may have specific policies.

  • Some allow only delivery to the front desk, with staff placing flowers in the room
  • Some allow florists into the room for setup, accompanied by staff
  • Many prohibit real candles because of fire safety; use LED candles instead
  • Petals on beds and floors may be restricted or charged a cleaning fee

Clarifying rules early prevents disappointment on the day.

Step 3: Choose the setup

  • A bouquet or vase arrangement: simplest, and almost always allowed
  • Rose petals on the bed: a heart shape or initials, very popular for anniversaries
  • Full room decoration: petals, balloons, LED candles and several arrangements
  • Bath setup: petals in the bathtub, where the hotel permits

For romantic trips, red roses remain the classic choice. Our anniversary room decoration page shows full setups, and our surprise anniversary room decoration plan explains how to coordinate timing.

Step 4: Coordinate timing

The concierge will tell you when the room will be ready, which is usually just before check-in. Florists need thirty minutes to an hour for a full setup. If the guest arrives early, the hotel may delay check-in or hold them in the lounge. Agree on this plan in advance.

Step 5: Confirm the day before

Call the concierge the day before to confirm the arrangement, the florist's arrival time and the name of the staff member who will assist. Share the florist's contact details with the hotel.

Delivering to a guest already staying

If the guest is already checked in, the concierge can deliver flowers to the room while they are out, or hand them over at the front desk. Share the room number if you know it, or the guest's name and booking details.

A few etiquette tips

  • Tip the staff who help set up the surprise
  • Keep the concierge's name and number handy on the day
  • Do not ask staff to break policy
  • Clean up extra decor before check-out, or confirm the hotel will do it
